Making Calls
When calling an on campus number all you need to dial is the last 5 digits of the phone number (6-xxxx). If you are calling off campus, you will need to dial 9+ or 1+ (area code)+xxx-xxxx. All calls within the United States can be dialed without the use of a long distance code and are no extra charge.
From the Calls Tab (for external/internal numbers)
- Select Calls from the left-hand menu.
- Use the keypad to dial a number or type a name/number in the search box above the dialer.
- Select the Call button (phone icon) to start.
From a Chat
- Open a one-on-one or group chat.
- In the upper-right corner, select the Audio call or Video call icon to start.
From a Teams meeting
- Press the 鈥淧eople鈥 icon
- In the right-hand panel, under 鈥淧articipants鈥, enter the phone number where it says 鈥淚nvite someone or dial a number鈥.
Using the Search Bar (Command Bar)
- In the search bar at the top, type /call.
- Type the person's name or phone number.
- Press Enter or select the person from the list to start the call.
Domestic Calling (inside the U.S.)
Placing a call from MS Teams outside the state of Mississippi does not require a long-distance code. International Calling is not available via MS Teams.
Dial 1 or 9 + Area Code + 7-digital telephone number
Conference Calls
Merging an Incoming Call with an Existing Call
- Receive Call: A pop-up appears for the new call while you're on another call; your first call automatically goes on hold.
- Accept: Select the Accept button on the pop-up.
- Merge: In the call controls, select the More actions (ellipsis ...) icon.
- Select Merge: Choose Call merge, then select the call you want to merge with and click Merge.
Merging a Call You Initiate
- Start Second Call: While on your first call, go to the Calls tab.
- Dial: Type the name or number of the person you want to add and select Call.
- Put on Hold: Your first call automatically gets put on hold.
- Connect: Wait for the second call to connect.
- Merge: In the call controls, select More actions > Merge calls, then choose the other call and click Merge.
Important Notes:
- Desktop Only: Call merge is supported on the Microsoft Teams desktop client only.
- Elevates to Conference: Merging two calls turns it into an audio conference.
- Not for Meetings: This feature doesn't work for Microsoft Teams meetings.
Auto Attendants (Additional cost associated with this feature)
A auto attendant is a feature that allows a user to call a single number and be directed to an available agent.
Pricing for Auto Attendants: Monthly fee - $5.00
Call Transfer
On Desktop/Web (Blind Transfer)
- During a call, click the More actions icon (three dots ...) in the call controls.
- Select Transfer.
- Start typing the name of the person you want to transfer to in the search box.
- Select the contact when they appear.
- Click the Transfer button to send the call immediately.
Hold
On Desktop (Calls)
- During an active call, find the controls at the bottom or top of the call window.
- Click the More actions icon (three dots).
- Select Hold from the dropdown menu.
- To resume, click the Resume button that appears in the same spot.
On Mobile (Calls)
- During an active call, tap the three dots (More actions) next to the End Call button.
- Tap Put call on hold.
- Tap the Resume button to take it off hold.
Key Things to Know
- Notifications: Everyone on the call is notified when you place them on hold.
- PSTN Calls: People on traditional phone lines (PSTN) will hear music while on hold.
- Limitations: This feature typically doesn't work in scheduled meetings; it's for direct calls or conference calls you initiate.
Voicemail
Setting up Your Voicemail
- Open Settings: Click your profile picture in Teams, then select Settings.
- Navigate to Calls: In the Settings menu, choose Calls from the left-hand menu.
- Configure Voicemail: Scroll to the Voicemail section and click Configure voicemail or Manage voicemail.
- Set Your Greeting:
- Click Record a greeting to call the voicemail system and record your voice message.
- Or, use the Text-to-speech option to type your greeting and have the system read it aloud.
- You can also set a separate Out of office greeting and choose when it plays.
- Adjust Call Answering Rules: In the Calls settings, you can change how calls are handled when unanswered, such as letting callers leave a message or transferring them.
Listening to Voicemails
- In the Teams app, click the Calls icon on the left.
- Select the Voicemail tab or icon.
- Click on a message to play it; a transcript may also be available.
Call Pickup
- This feature is by request only. It allows you to answer another phone through your phone, if no one is available to answer.
Call Forwarding 鈥 Busy
Method 1: Forwarding During an Active Call (Busy on Busy)
This setting manages calls that come in while you're already on a call.
- Open Settings: Click your Profile Picture > Settings.
- Go to Calls: Select Calls from the left-hand menu.
- Find Busy Setting: Scroll down to "When you're in a call and receive another call".
- Choose Action: From the dropdown menu, select:
- Redirect as if the call is unanswered (Recommended for busy scenarios).
- Play a busy signal.
- Let new calls ring me (Default, lets calls interrupt).
Method 2: Forwarding All Calls (General Forwarding)
This setting handles all incoming calls when you're unavailable.
- Open Settings: Click your Profile Picture > Settings.
- Go to Calls: Select Calls from the left-hand menu.
- Set Forwarding: Under "Call handling and forwarding," select Forward all calls.
- Choose Destination:
- Forward to Voicemail: Sends to your Teams voicemail.
- Forward to a new number or contact: Enter a number or select a person.
Method 3: Using Dial Pad Shortcuts (Quick Codes)
Use these directly in the dial pad for quick changes.
- Forward All Calls: Dial *33*<Phone Number># (e.g., *33*1234567890#).
- Forward to Voicemail: Dial *33*v#.
- Stop Forwarding/Reset: Dial *32#.
Call Forwarding - All Calls
On the Teams Desktop App
- Open Settings: Click your profile picture (or the three dots/ellipsis) in the top-right corner, then select Settings.
- Go to Calls: In the left-hand menu, click Calls.
- Choose Forwarding: Under "Call answering rules," select Forward my calls.
- Select Destination: Use the dropdown menu to choose where to forward:
- Voicemail: Sends calls directly to your Teams voicemail.
- New Number or Contact: Enter a specific number or select a person.
- Call Group: Forward to a predefined group of people.
- Save: Exit settings (changes save automatically).
Quick Dial Codes (for advanced users)
- Forward: Dial 33* followed by the phone number (e.g., 33*1-800-555-1212).
- Forward with Time: Dial 34* followed by the number of seconds to ring before forwarding (e.g., 34*20*1-800-555-1212).
- Stop Forwarding: Dial 32* to reset.
Other Options
- Simultaneous Ring: In the same "Calls" settings, you can choose to "Ring me and another person" or "Ring me and a new number" to have calls ring your device and another destination at the same time.
Send All Calls to Voicemail
- Open Settings: Click on your profile picture (or the three dots for "More options") in the top-right corner of Teams, then select Settings.
- Go to Calls: In the Settings menu, choose Calls from the left-hand pane.
- Set Up Call Forwarding:
- Look for the "Call handling and forwarding" section.
- Under "Forward calls," select the option to Forward to voicemail. You can also choose to forward to another contact or a call group if needed.
- You can also set how many seconds a call rings before it's redirected (e.g., 0 seconds for immediate forwarding).
Mark Unwanted Spam Calls / Block
Block a Specific Number
- Open Microsoft Teams and click the Calls icon on the left.
- Go to the History tab.
- Find the spam number in your call list.
- Click the More options icon (three dots ...) next to the number.
- Select Block, and the number will be marked as blocked in your history.
Block Calls with No Caller ID
- Click your Profile picture in Teams, then select Settings.
- Go to the Privacy tab.
- Click on Edit blocked contacts or find the setting for Block calls with no caller ID and turn it on.
What Happens Next
- Blocked Calls: You'll see "BLOCKED" next to the number in your history, and calls from it will be silenced or dropped.
- Spam Likely: Teams may automatically label some calls as "Spam Likely" for you to decide on.
